Responsibilities
- Support the end-to-end operations of executive event spaces, delivering a premium hospitality experience.
- Oversee daily operations and ensure the space is maintained to the highest presentation standards.
- Coordinate event setup, execution, and breakdown with attention to detail.
- Conduct regular facility inspections and coordinate maintenance requirements.
- Implement quality measures to uphold premium service standards.
- Create a welcoming and comfortable environment for C-suite executives and their guests.
- Host and support VVIP guests throughout their visit, ensuring exceptional hospitality.
- Assist with menu planning and F&B arrangements to meet business requirements.
- Proactively provide feedback and recommendations to improve service delivery and guest experience.
- Support special events, including F&B management for C-suite executives and VVIPs.
- Assist in managing vendors to ensure high-quality products and services are provided.
- Serve as the primary point of contact for client communications and event requirements.
- Manage inquiries and correspondence professionally and efficiently.
- Conduct pre-event consultations and prepare detailed event briefs.
- Support VIP clients and high-profile events with discretion and professionalism.
- Manage multiple events simultaneously across various planning stages.
- Resolve operational issues promptly while maintaining service excellence.
- Coordinate effectively with internal stakeholders and external partners.
- Remain calm and professional during high-pressure situations.
- Provide seamless visitor registration and reception services for C-suite executives, VVIPs, and guests.
- Monitor visitor access and movement to maintain safety and security standards.
- Support emergency response procedures when required.
- Build and maintain effective relationships with vendors and service providers.
Requirements
- Minimum 5 years of experience in event coordination/management
- Propr experience in Hospitality, F&B, Tourism, Airlines, Hotels, or a related industry is advantageous
- Proven experience supporting C-suite executives, senior leadership teams, and VVIP guests.
- Experience managing high-profile corporate, networking, or executive events.
- Knowledge of food handling practices and white-glove service standards.
- Good understanding of wines, spirits, and beverages; cocktail-making knowledge is advantageous
- Proactive and service-oriented mindset with the ability to anticipate executive and VIP requirements.
- Ability to work under tight deadlines while maintaining high-quality standards.
- Excellent communication, interpersonal, and stakeholder management skills.
- Good attention to detail and problem-solving abilities.
